Job Description:
As the Office Administrator / Receptionist, your primary duty is to greet visitors with courtesy and professionalism, acting as the companys initial point of contact, support day-to-day office operation and assist the Country Manager with administrative tasks (agenda, travel, etc.).
You will manage access to our premises, inform employees of visitors arrivals, and issue visitor badges, you will monitor visitors movements, maintain accurate records, and efficiently direct visitors to the appropriate personnel. Upholding office security, you will adhere to access control and safety procedures, ensuring only authorized personnel gain entry.
Your responsibilities include answering, screening, and forwarding phone calls, managing correspondence and deliveries, and maintaining a neat reception area. You will be a key liaison for office / building vendors, Corporate Facilities, HR and IT teams and will ensure necessary stationery and materials are stocked and organized, provide administrative support and handle ad-hoc tasks as required, respond promptly to emergencies, and implement Global Security and Safety (GSS) established protocols.
This role also supports the Country Manager with administrative assistant tasks such as coordinating travel, managing agenda, internal / external meetings and ad hoc task as needed.
Essential Functions:
Professionally greet and welcome guests immediately upon their arrival at the office, ensuring they feel valued and attended to.
Issue visitor badges utilizing the Visitor Management System (SPLAN) where available, meticulously monitor visitors movements within the premises, and maintain accurate records and reports of all visitors for security and administrative purposes.
Efficiently direct visitors to the appropriate office or personnel, ensuring minimal waiting times and prompt assistance.
Uphold office security by strictly adhering to established access control and safety procedures, ensuring a safe environment for all employees and visitors.
Vigilantly ensure that only authorized personnel are granted access to the office, preventing unauthorized entry and potential security breaches.
Answer, screen, and forward incoming phone calls in a professional and courteous manner, ensuring effective communication and responsiveness.
Manage and redirect incoming correspondence and deliveries as needed, ensuring timely distribution and appropriate handling of all items.
Always maintain the reception area in a neat and presentable condition, reflecting the professional image of the organization.
Ensure that all necessary stationery and materials are adequately stocked and organized in the reception area, facilitating smooth day-to-day operations. Serve as key liaison for external and internal vendors and departments.
Support Country manager in several administrative tasks such as travel planning, agenda coordination, external and internal meetings.
Respond promptly and effectively to emergencies, taking appropriate actions to mitigate risks and ensure the safety of all individuals within the office.
Implement established emergency protocols when necessary, coordinating with relevant personnel to handle situations efficiently and effectively.
Basic Qualifications:
Must have a High School diploma or equivalent or relevant work experience
4 years of experience in a similar role as office administrator, security, receptionist role or a comparable role that equips the candidate to perform the essential responsibilities of the position effectively.
Demonstrates a polished and professional attitude and appearance, suitable for a front-facing role.
Exhibits strong verbal and written communication skills, enabling clear and effective interaction with colleagues, clients, and stakeholders.
